How to follow up after applying without being annoying
When to follow up, who to contact and what to write, with templates you can adapt.

A follow-up rarely gets you an interview on its own, but it moves your application from the pile to the top of the pile. The trick is timing and tone: brief, specific and never more than twice.
When
Wait five to seven working days after applying. Postings are usually reviewed in weekly batches, so writing sooner interrupts a process that has not started. If the posting lists a closing date, follow up a few days after it.
Who
In order of preference: the recruiter named on the posting, the hiring manager (usually the person the role reports to), or someone on the team. LinkedIn makes the first two easy to find. If you cannot identify anyone, a short note to the general careers address is still worth sending.
What to write
Three sentences. Say which role you applied for and when, add one concrete reason you are a fit that is not in the resume, and ask a specific question. Questions get replies; statements do not.
- "I applied for the Data Analyst role on 4 June. I noticed the posting mentions dbt; I built our dbt layer at Copperline and would be glad to talk through it. Is the team still reviewing applications?"
- "I submitted an application for Sales Manager last week. I have led a team in the Iberia region you are expanding into. Could you tell me the expected timeline for first-round conversations?"
The second follow-up
If there is no reply after another week, send one more message, shorter, and then stop. Something like: "Following up once more on my application for X. If the role is filled or paused, no need to reply — I would appreciate knowing either way." Giving people an easy out increases the chance they answer.
What not to do
Do not call unless the posting invites it. Do not follow up on the day you apply. Do not send the same message to five people at the company. And do not ask for feedback on a rejection from a form response; ask only if a person has interacted with you.
Keep a column in your tracker for follow-up dates. The people who get replies are simply the ones who remembered to send the note.
